Verification FAQ

WCJC’s Financial Aid Office verifies and validates the accuracy of each student’s FAFSA application. Explore the FAQs below to learn more about the verification process or reach out to finaid@wcjc.edu with questions.

Selection for verification does not always indicate that information reported on the FAFSA is inconsistent or incorrect. The Department of Education flags some applications for verification, and the school is required to review a certain percentage of student files. Using the IRS Data Retrieval Tool when completing the FAFSA can reduce your chance of being selected for verification

If a student is selected for verification, the Financial Aid Office will mail the student a tracking letter requesting documentation of the information reported on the FAFSA. The tracking letter will include a request for specific documents. Tax returns are commonly requested during the verification process. Effective January 9, 2019, students and parents can submit signed copies of tax return forms (1040s) for verification purposes. Also, students and parents can submit signed statements in place of non-filing letters.

Students who receive a verification tracking letter should submit requested documents as soon as possible to ensure the timely processing of their award.

Yes! You can correct certain mistakes on your online FAFSA yourself. You do not have to wait for verification to make corrections.

Students who are selected for verification and do not complete the process by the deadline will not receive a financial aid award. All required documentation needed for verification must be received prior to the last class day of the award period.

In order to be in compliance with federal regulations when pursuing federal financial aid to attend WCJC, you will need to submit a notarized transcript with the appropriate signatures (parent signature for a home school and head of instruction for a nontraditional high school). The financial aid staff will evaluate the transcript for compliance with the standards for federal financial aid.

Should fraud or abuse be detected or suspected, it will be reported to the Director of Financial Aid. The Director will forward the information to the Office of the Inspector General of the Department of Education for review and possible investigation.

All credible information indicating that an applicant for federal student aid may have engaged in fraud or other criminal conduct will be provided to the Department of Education. Fraud is an intent to deceive as opposed to a mistake or miscalculation.

General Deadlines

Financial aid applications are due on the following dates to ensure your aid is processed by the first day of class:

  • Fall: June 1
  • Spring: November 1
  • Summer: April 1

Freeze Dates

The financial aid freeze date is the day that the WCJC Financial Aid Office will review enrollment for all students receiving financial aid. The number of eligible registered hours a student is registered for on the freeze date will determine the financial aid award for that semester. Increasing enrollment after the freeze date will not increase the aid amount.

Financial aid freeze dates for 2023-2024:

  • Fall 2023: September 17, 2023
  • Spring 2024: February 4, 2024
  • Summer 2024: June 9, 2024

Appeal Dates

Appeal documentation for the Summer 2023 and Fall 2023 semesters must be submitted by noon on Tuesday, May 23, 2023.

Decisions will be posted in Online Services by midnight on June 2, 2023. Students will also receive a postal letter explaining the appeal decision.

Dates for Using Financial Credit for Books and Parking Permits

Students who have been awarded financial aid may charge their books at the Barnes and Noble bookstores on the Richmond and Wharton Campuses or online.
