All student financial account operations are now available online through the Student Account Suite in Online Services. Once you login to Online Services and select “Student Account Suite” from the “Student Services & Financial Aid” list you can access statements and complete your profile information to receive direct deposit refunds.

e-Bill

e-Bill is Wharton County Junior College’s official method for sending student account statements, replacing paper statements (or bills). Periodically, the Business Office will post new electronic statements to the student’s secure online account. When new statements are available, students and their designated authorized users receive email notification and can go online to view the current statement and make payment. e-Bill offers a number of exciting features for students and their authorized account users, including:

e-Refund

Students can enroll online to receive their student refunds directly deposited into their bank checking or savings account. No need to wait in lines to deposit a paper check. Students will receive email notification when their e-Refund has been processed and will know when their e-Refund will be deposited into their account.

Online Statements

Students are able to login to e-Bill and view current and previous student account statements (or bills). Users are able to review current charges, fees, payments and any applicable credits on their student account.

Installment Plans

This program allows you to spread your Wharton County Junior College charges over time. The cost is $35 per semester and must be paid at the time of enrollment. The Installment Plan is available for the fall, spring and summer terms. There is a four-payment plan in which a student pays 25 percent of tuition and fees plus a non-refundable $35 fee upon enrollment, and the remainder is spread out over three months. On a three-payment plan, a student pays 50 percent of tuition and fees plus a non-refundable $35 fee upon enrollment, and the remainder is spread out over two months.

Enrolling in the Installment Plan

To enroll in the Installment Plan, you must first be registered in WCJC classes. Once you have enrolled in classes:

  1. Login to Online Services on the WCJC website.
  2. Click on Student Services & Financial Aid and select Registration followed by Registration Fee Assessment.
  3. Select the current Term of registration and click Submit.
  4. Scroll down to the bottom of page.
  5. Click on Pay Now /Installment Plan (at the bottom of the page).
  6. Click on the button Student Account Suite to begin enrolling in an installment plan.

e-Refund Set Up

Students can enroll online to receive their student refunds directly deposited into their bank checking or savings account. Students will receive e-mail notification when their e-Refund has been processed and will know when their e-Refund will be deposited into their account.

  1. Go to WCJC Online Services to access your account.
  2. Log in using your Banner ID and PIN.
  3. Click on Student Services and Financial Aid
  4. Click on "Student Account Suite."
  5. A new page displaying your Banner ID will appear. Click again on "Student Account Suite." This will take you to the WCJC student account system. It is a secure site.
  6. Click on the My Profile tab on the far right of the main horizontal menu.
  7. Click on "Payment Profile." From there you will be directed to set up your bank account information.
  8. Click on the drop down menu and select 'Electronic Check (Checking) and click on "Go."
  9. On the Bank Account Information page enter all of the fields and make sure to check the box next to Refund Option. (Please note that only one bank account can be designated to receive refunds).
  10. Once you have completed the form and reviewed the accuracy of the account information provided, click on the Save button at the bottom of the page.
  11. If you have already saved a payment profile and this is the account you want your refund to go to then all you need to do is check the Refund Option box.

NOTE: It may take up to five business days for your designated account to be verified and available for e-Refunds.

** e-Refunds can only be designated to an account in the student's payment profile. This feature is not available to other authorized users.

FAQs for Student Accounts and e-Bill/e-Refund

How will I know when my statements or refunds are ready?

An email notifying you will be sent to your official WCJC Student e-Mail account when your statements are ready to view and when your refund has been issued. Make sure to check your student e-Mail account often for important financial updates.

Is my personal and payment information safe on e-Bill?

Yes--Wharton County Junior College's online billing system is hosted on a secure server and the personal profile and payment information of students and their authorized users is kept secured using industry leading security features.

Do I need to sign up or register to use e-Bill?

Yes--Students simply log into WCJC Online Services with their User ID and PIN. Once logged into e-Bill, students can set up their personal profile within Student Account Suite.

Can I register other authorized users?

Yes--Students can add authorized users to their account, giving those users the ability to log in to e-Bill with the authorized user's email address and password (unique to the authorized user). Authorized users can view statements, make payments, and enroll in the installment plan.

Who can use e-Bill?

The e-Bill service is available to all Wharton County Junior College students and their authorized users. Students may elect to give access to their parents, grandparents, guardian, spouse, employer, etc.... All information is kept secure and individual users cannot see or view payment profiles or banking information of other users. Students also have the ability to limit what information their authorized users have access to.

When can I make a payment?

e-Bill is available online any time, 7 days a week, 24 hours a day.

What is e-billing and online payment?

Electronic billing (e-billing) is an online interface that enables Wharton County Junior College students to view their current and previous billing statements and make electronic payments over the Web using a credit card or check. Wharton County Junior College's online billing system is secure, and all payments are processed through the TouchNet payment gateway, which utilizes industry-leading security standards.

Beginning September with the Fall 2011-12 billing, all statements will be e-Bill only. These statements will be sent to the student and authorized users via e-mail.

All charges to the student's account including tuition, room, board, health insurance, course fees, and other miscellaneous fees will be on the e-Bill and will be available for viewing and printing via the Internet.

Why is Wharton County Junior College changing to e-Billing?

Through online billing and payment, Wharton County Junior College hopes to provide more convenient services to student and authorized payers. In today's Internet culture, transactions and communications are performed daily via e-mail and online.

Colleges and universities around the country are now using e-billing as their primary method of billing.

This is one of the many strides that Wharton County Junior College has made to provide improved service through technology and online resources, including the ability to apply, register for classes, and check grades online.

What are the benefits of e-billing and online payment?

Benefits include:

  • Convenient access to bills and making payments.
  • Payments made online are posted to the student account immediately.
  • Services are available 24 hours a day/7 days a week.
  • Account access is available worldwide via the Internet.
  • Services are private and secure.
  • Convenient access for authorized payers to view billing information and make payment on behalf of the student.
  • Access to online payment history.
  • Ability to schedule future payment.
  • Ability to print an e-bill at any time via the Internet.
  • Ability to print additional copies of e-bills for employers who offer company reimbursement.

Are there exceptions to e-billing? Can I continue to get a paper bill?

All currently enrolled students will receive an electronic bill. Printed bills can be obtained by accessing your account via WCJC Online Services and printing out the bill. The e-Bill can be accessed and printed at any computer with Internet and printer access.

What if I don't feel comfortable paying my bill online. How do I pay my bill?

Paying your bill electronically is optional. You can also pay your bill by printing a copy of the bill from your account and mailing it with the payment to the appropriate address, or delivering your check or cash in person.

Checks should be made payable to Wharton County Junior College. Please include your WCJC User ID number on the check.

Can I make my payment with a credit card?

Yes--Wharton County Junior College accepts MasterCard, Discover, Visa, and American Express both in person and online.

Is there a charge for processing an e-check (ACH) payment?

No, this service is provided at no additional cost.

What is an authorized payer or user?

Authorized payers/users may include parents, spouses, relatives, guardians, and employers. The enrolled student must set up access for the authorized payer to view the student's billing information and make payments.

How do students authorize additional payers?

Students have the option to designate authorized payers to view and pay the student bills, such as parents, spouses, relatives, guardians, or employers. Detailed instructions on how to designate an authorized payer will be provided to the student.

How can authorized payers make payment on my behalf?

Students have the option to designate another party to view and pay their bills. This third party will need to be authorized by the student to view the statement and make payment via the payment Web site. The authorized user can then access the Web site directly to view the student's billing information and make payments.

Once the authorized payer has logged into the e-bill system, the payer can change his/her password, and set up and store his/her own profile and account information. Thereafter, unless authorization is canceled, the third party will be notified via his/her own e-mail address that the student's e-bill is available for viewing. The individual can log into the Web site to view the student's billing information and make a payment. This authorization only gives access to statements and payment options; authorized payers will not have access to any other student records.

Do authorized payers have to make their payment online?

No. The authorized payer can print a copy of the e-bill via the Internet and mail his/her payment (check, cashier's check, money order, or traveler's check) along with the printed e-Bill to the appropriate address.

How do students set up and access online billing and payment?

Students will log into the e-Bill system using their WCJC Online Services (Banner) User ID and PIN. Once logged into Online Services the student should select "Student Account Suite" from the menu. Once students reach the e-bill system (which is has a WCJC logo and red brick pattern across the top of the screen) students set up their personal profile. Students can also add authorized users to their account, giving those users the ability to log in to e-Bill with their own e-mail address and password.
